Using Meltwater

  • Meltwater’s free online learning center, Meltwater Academy offers foundational and advanced courses to make sure that you get the most out of the platform. Meltwater Academy is free for anyone and does not require a login. 

    Additionally, this resource page, Meltwater: Earned Media Reporting Tool, has additional trainings and TNC-specific guidelines to help you use Meltwater.

    We also created a Microsoft Teams chat, Meltwater Media Monitoring Support, for all TNC Meltwater users to ask questions about account management, how to use the tool, and anything else Meltwater related. We encourage users to collectively support each other and crowd source solutions. We will proactively add everyone at TNC with Meltwater access to the team.

  • Yes, Meltwater supports automated media alerts that can be delivered directly to your email inbox. The BSO Analytics team and the Meltwater team can help set up these automated alerts. Please make a request through the Marketing Requests Portal. [Please try to submit requests at least 5 business days in advance]

    If you have a Meltwater account, you can also create these reports yourself if you prefer. Check out the How To guide on GD Central.

  • In Meltwater, there is an easy way to toggle on and off for your keywords to mention or not mention TNC. Most searches have been set up to not mention TNC as it's easy to add our name in if needed. But a custom category has been created called TNC that you can toggle on and off as a filter in “Explore.” Now you can look at overall results for keywords with and without mention of TNC.

  • Meltwater allows access to 12 months of historical data, which means that you can export data and run analytics on data from up to 12 months back from the current date.

For All Users

  • Meltwater has multiple organization tools that will help ensure all users can find the data they need. This is combined with our own guidelines and should ensure ease of use among users.

    • Naming Conventions​: By implementing naming conventions across all saved items, we can a) provide better sorting capabilities & b) empower users to keep up to date lists, dashboards, etc. through quarterly auditing​. 

    • Employing Filters, Labels, and Tags​: Meltwater provides the ability to create filters for use in keyword searches based on outlet types, regional locations, etc. Additionally, they allow for the creation of Labels to properly sort multiple saved searches. Lastly, we can employ tags to allocate articles to specific BUs or initiatives.

    • Meltwater Maintenance: On a quarterly or bi-annual basis, the BSO and/or Meltwater team will be in touch to facilitate audits of saved items to ensure unused lists, dashboards, etc. are not remaining saved in the system.​

For Regional Account Users

  • Some users will be logging into Meltwater with a generic email address linked to their BU or region. We are referring to these users as "Regional Account Users." Other users have individual accounts tied to their TNC email addresses and typically are heavier users of the platform, and so we refer to this group as "Power Users." Regional Account Users have access to all the same Meltwater capabilities and functions as Power Users.

  • FY24 is our first year using Meltwater. Part of what we are scoping during this first year is who are we supporting. We want to test out the capabilities of Meltwater first before upgrading our account. A majority of users only need a media monitoring platform less regularly, so regional accounts let us provide Meltwater access to more users at TNC without upgrading our contract at this time. Our contract will be evaluated for FY25, and we will reassess how many seats we need then.

  • Regional accounts are monitored and granted access by the Business Strategy & Operations (BSO) team to ensure ease of use and avoid access issues with too many users. This also allows the BSO team to know how many people they are supporting for future contract conversations.

  •  

    You should not have any issues having multiple people in a regional account at the same time. If you run into issues around this, please inform the Data Intelligence and Analytics team.

  • The admin’s role is to:

    • Establish initial account and securely share details with members of that regional account

    • Upkeep account login as needed

    • Inform BSO team of any issues with account (that would affect all users)

    The admin’s role is NOT to:

    • Share user account with other staff as they like. People should submit a digital request if they need access

    • Be point person for individual user questions or other needs related to Meltwater system support

    In addition to the guidelines, please edit your own data only. Consider who owns which lists and content and ask before touching or changing it​. Members of the BSO team will be monitoring lists, dashboards, searches, and account logins to ensure that we don’t have idle accounts or content. Please do your due diligence in ensuring your saved items are reviewed quarterly.

Support for non-account holder

  • Our initial contract with Meltwater for FY24 allows for limited seats. Given the current limitation and based the assessment survey that was sent out in May 2023, we determined that the BSO Analytics team can fully support your media monitoring needs, and therefore, you currently do not need access to Meltwater. Our contract will be evaluated for FY25, and we will reassess how many seats we need then.

  • You can submit the following via the Marketing Requests Portal at least 5 business days in advance. 

    Pull media coverage (hits, competition, keyword, topics)

    • Submit a request informing us of recent or upcoming media coverage they want to monitor and pull from Meltwater. ​

    • Determine the timeframe for these requests (maximum of 12 months of historical data).​

    • Media coverage could be tied to a known media outreach (i.e. press release), or it could related to monitoring a series of keywords, topics, organizations, or a combination of these.​

    Create automatic alerts or reports

    • Submit a request to set up either: Ongoing alerts or automatic reports.​

    • Ongoing alerts will automatically inform users of new media coverage around a set of keywords or topics, when it happens.​

    • Automatic reports will periodically monitor media coverage around a set of keywords or topics and send users an email detailing the media coverage pulled during that specific timeframe (i.e., weekly, monthly).  ​
